Terms and Conditions

 ooking & Payments

  • Full payment + booking form required to confirm all services (121s, classes, events).

  • Payment = acceptance of these Terms & Conditions.

  • Some events may require a non-refundable deposit. If full payment is not received by the closing date, you forfeit your spot.

Cancellations & Refunds

1-2-1 (Private) Sessions

  • If you need to reschedule, please give at least 48 hours' notice.

  • If you cancel with less than 48 hours' notice, the session may be lost and not refundable.

  • Refunds may be given in exceptional circumstances, at the discretion of Penthwell Dog Training.

  • All refunds will be subject to a £5 administration fee.

Group Sessions (Classes, Workshops, etc.)

  • No refunds will be given once your place is booked.

  • Your space cannot be transferred to a different date or session.

  • However, you may sell your place to someone else, with prior permission from Penthwell Dog Training.
    (We must approve the new participant before the transfer is confirmed.)

  • If a class/121 is cancelled by Penthwell Dog Training,  the session will be rescheduled. If not possible, a full refund will be given.

  • No refunds for client choice not to attend (e.g. holidays).

  • No refund/reschedule for cancellations due to Acts of God (e.g. storms, extreme heat).

  • If Penthwell cancels due to unsafe ground, a new date will be offered. If this cannot be attended, a full refund will be given.

Dogs & Handler Responsibilities

  • On-lead policy unless instructed otherwise by the trainer.

  • Notify Penthwell of severe behavioural issues before booking.

  • Keep dogs distanced from each other unless told otherwise.

  • All dogs must be:

    • Fully vaccinated or titre tested.

    • Regularly flea/worm treated.

    • Healthy – no illness that could spread to other animals or people.​

  • Dogs who urinate on equipment will incur:

    • A cleaning charge of £5 per incident.

    • Time to clean will reduce your session time.

    • Repeat offenders may face additional charges.

Handlers & Spectators

  • Handlers under 16 must be accompanied by an adult.

  • Spectators only allowed with prior permission – may require a spectator fee.

Emergency Contact Info

  • You must provide emergency contact details when booking any of our services.

  • If we don’t have this information, unfortunately, you won’t be allowed to attend, and any payment made will not be refunded.

  • If there’s an emergency and we can’t reach you or your listed contact, we’ll take appropriate action to make sure you and your dog stay safe and well.

Photos & Videos

  • During training sessions, we may take photos or videos of you and your dog.

  • These may be used for marketing, promotional material, or training demonstrations, including on our website and social media.

  • If you do not want to be included in any photos or videos, please let us know by emailing:
    penthwelldogs@outlook.com

  • By attending our sessions, you give permission for images to be used unless you’ve opted out.

National Nosework Association (NNA) Trials

1. General Agreement 

By entering an NNA Trial hosted by Penthwell Dog Training  you agree to abide by these Terms & Conditions. These rules are in place to ensure the safety, fairness, and enjoyment of all participants, spectators, and dogs involved.

2. Handler Responsibilities
a) Handlers are responsible for the care, control, and behaviour of their dog(s) at all times during the Trial.

b) Dogs must remain under control and on a lead unless instructed otherwise by an authorised official.

c) Handlers must not allow their dog(s) to interfere with other competing dogs, handlers, or event officials.

d) Any dog deemed out of control, aggressive, or causing a nuisance may be asked to leave the premises immediately without a refund.

e) It is the handler’s responsibility to clean up after their dog(s). Waste must be disposed of in designated areas.

3. Dog Eligibility & Welfare
a) Only dogs that are fit, healthy, and not suffering from any contagious conditions may participate.

b) Bitches in season are not permitted to compete.

c) The event organisers reserve the right to refuse entry to any dog showing signs of illness, distress, or aggression.

d) The use of harsh handling, excessive force, or aversive training techniques will result in immediate disqualification and removal from the Trial.

In order to compete at any trials, the team must​

  • Be a current NNA member.

  • Have passed the Official Recognition Test (ORT) for the level you're entering.
    (Unless you're entering as "Not for Competition," in which case eligibility rules are more flexible.)

4. Safety & Conduct
a) Handlers must follow all instructions given by event officials at all times.

b) Spectators and non-competing dogs must remain in designated areas and must not interfere with the event.

c) Any handler behaving in an abusive, threatening, or inappropriate manner towards officials, competitors, or spectators may be disqualified and removed from the event.

d) Any damage caused by a dog or handler to property, equipment, or individuals is the sole responsibility of the handler.

5. Entry & Refund Policy
a) Entry fees are non-refundable except in cases where the event is cancelled by the organisers.

b) No substitutions or transfers of entries are permitted without prior approval.

c) If a handler withdraws from the event for any reason, no refunds will be issued.

6. Liability & Indemnity
a) All participants acknowledge that attending the Trial is at their own risk.

b) The organisers, officials, landowners, and volunteers shall not be held responsible for any injury, loss, or damage to persons, dogs, or property during the event.

c) By participating, handlers agree to indemnify and hold harmless the organisers against any claims or liabilities arising from their participation.

7. Photography & Media
a) By entering the Trial, participants consent to photography and videography being taken during the event.

b) The organisers reserve the right to use such media for promotional and marketing purposes.

c) If a participant does not wish for their image to be used, they must notify the organisers in writing prior to the event.

8. Amendments & Final Decisions
a) The organisers reserve the right to amend these Terms & Conditions at any time.

b) Any disputes or decisions made by the event officials shall be final.

c) The Judge or Trial Official can:

  • Stop your dog from taking part if they think it’s not safe or your dog is too stressed.

  • Refuse entry if your dog could be a risk to others.

  • Remove anyone being rude, aggressive, or abusive.

  • If the trial includes an on-lead section and you refuse to keep your dog on a lead, you won’t be allowed to complete that section.

d) By entering the Trial, you acknowledge that you have read, understood, and agree to abide by these Terms & Conditions.

9. Cancellations & Refunds

​​​a) If you can’t attend, you may transfer your entry to someone else if they meet the eligibility requirements and you get permission from the Trial Official.

b) Refunds are only given if the event is officially cancelled.

Privacy Policy Summary

 What Data is Collected

  • Contact details (name, email, phone, address).

  • Pet details.

  • Payment information (stored for tax purposes).

​

Why & How Your Data is Stored

Used for:

  • Communication (issues/emergencies).

  • Event logistics (e.g. prize posting).

  • Tailoring training to your pet.

  • Stored securely and electronically, password protected.

​

 Who Sees Your Data

  • Only your instructor(s).

  • Shared with vets in emergencies, if needed.

​

Data Retention

  • Data stored for 7 years, then deleted.

  • You may request return of any questionnaires.

  • You can opt out of marketing and photos/videos by emailing: penthwelldogs@outlook.com.

​

Covid-19 Guidance

  • Sanitise hands before/after sessions.

  • Notify Penthwell and complete LFT if feeling unwell.

  • If LFT positive/inconclusive: contact Janka (07896 613 647) or email – no admin fee for Covid-related reschedules.

​

Prohibited Breeds

  • Dogs on the UK government banned breed list are not accepted.

​

By making a booking and payment, you confirm your acceptance of these Terms and Conditions.
